Author & Illustrator Visits

Welcome! We're glad that you have chosen one of our Authors or Illustrators to bring the joy of books to your facility.  Please take the time to read the information below, especially if this is your first time inviting an author/illustrator to visit your school.  If you have any questions, we are more than happy to help!

Getting Started


1. The Author List
Look through our site and if you see a book that looks like a good fit for your group, click on their link to view their contact info, rates, and availability.  If you have any questions, please e-mail authorvisits@ByGraceEnterprises.com .

2. The Invitation
We suggest inviting an author/illustrator 6 months to 1 year ahead of your scheduled event.  Some authors book two years in advance.  The earlier you plan, the more likely that you will get your first choice and time to secure the funds needed to pull off the visit.  If the Author /Illustrator comes from a distance, the venue will be responsible for booking transportation, hotel accommodations, and ordering books for sales.

3. The Date
Do you have a specific date in mind?  It is easier to book an author if they know your event dates are secure.

4. The Event
Do you have a specific themed event?  Authors will need to know to customize their presentation to the theme and the age of the audience.

5. The Presentation
How many presentations will the author need to make?  Most authors will make up to 3 presentations per day. We want the authors and children fresh and excited, not exhausted!

6. Multiple School Hosts
How long will the author/illustrator be asked to stay? Are other schools, libraries, or bookstores interested in joining you in hosting the author/illustrator?

 

Things to Consider


1. Your budget
Travel and hotel expenses are not included in the author's honorarium and are typically paid for by the hosts.  Most authors have an established fee, however many of these can be negotiated.  If, for instance, an author is already in the area, travel fees will be lower.  If the school extends an invitation for fewer presentations, author's fees could be lowered.  

2. Cutting Costs
Are there any other schools, libraries, or bookstores in your area who would be interested in having the author/illustrator come to present? If so, this might defer some of the honorarium and travel costs.

 

Book Ordering Policy

The Authors / Illustrators books can be ordered from By Grace Enterprises, LLC for the event with FREE shipping to the venue and 10% discount on the cover price of the books.  Only undamaged resalable books can be returned for credit or refund.

 

Things to Remember as a Host


1. The host will contact the author/illustrator in order to work out the logistics of the visit.  This includes travel, hotel, visit schedule, escort for the Author/Illustrator, etc.

2. Publicize the event!  Community involvement insures a better turnout and support for this and future events.  The promotional materials provided should be used to contact local newspapers and media.

3. Educate the audience.  If the audience is aware of the titles and the work of the Author/Illustrator, they will be more enthusiastic and involved in the presentation.

4. Find out if the Author/Illustrator has dietary restrictions, allergies, etc.

5. Make sure to schedule some breaks for the Author between presentations.

6. When organizing an author signing, some Authors prefer to have post its in each book with the child's name on it.
7. Materials and AV Equipment.  Request a list of equipment the Author /Illustrator will need for their presentation.  


8. Schedule.  Make sure you run all the activities that are planned by the author before the event occurs.  Physical limitations may apply.

how an idea becomes a finished book. Transparencies projected onto a screen show students each stage of the writing process, even the four-color printing of picture books. Children come to understand publishing terms such as “manuscript,” “galley proofs,” “blue lines,” etc, through the samples she provides. They see the same process in the development of illustrations. Older students also begin to understand the importance of research in the writing process.
